Custom client portals

Custom client portal development that lets your clients serve themselves

With custom client portal development, your clients get a logged-in area where they find what they need without messaging your team. Each person sees only what belongs to them, and your team updates everything in one place.

§ 01 — The problem03 problems

When it's time for a client portal

01

Every client question interrupts someone

Order status, a copy of an invoice, that document again. The requests come in over WhatsApp and email, and someone on your team drops what they were doing to reply.

02

Files scattered across inboxes and folders

The contract went out by email, the report sits behind a Drive link, and nobody knows which version is right. The client asks again because they couldn't find it.

03

The shared spreadsheet shows too much

To let each client see only what's theirs, you duplicate sheets or send screenshots. One tab shared by mistake and a client sees another client's data.

§ 02 — What you get05 deliverables

What a custom client portal comes with

  • 01

    Logins and access roles

Everyone signs in with their own account. Clients, staff and admins get different permissions, which we define with you in the spec.

  • 02

    Data isolated per client

Each client sees only their own data. That's multi-tenant logic: everyone uses the same portal, and each client's data stays separate.

  • 03

Screens for clients and your team

Clients find their orders, documents and progress in the words they already use. Behind the scenes, your team adds and updates everything from one admin panel.

  • 04

A portal connected to your systems

When the project calls for it, we connect the portal to your ERP, to Stripe for billing and to other APIs. Clients see the data that's already in your system, and your team doesn't enter it again.

  • 05

A web app under your brand

It opens in the browser on a computer or a phone, with nothing to install, and carries your company's colors and logo.

§ 03 — How we work05 steps

From paper to a live client portal, in five steps

With a portal, most of the weight sits up front, in deciding who sees what. The rest of the project builds and checks what was written down.

  1. 01

    Spec

We write down in plain language who signs in, what each role sees and does, screen by screen, and where each piece of data comes from. That document goes through you before it turns into code.

  2. 02

    Design

We design the screens in your brand's identity, starting with the path your clients repeat most: sign in and find what they need without asking for help.

  3. 03

    Build

We code the login, permissions, screens and integrations. Before handover we sign in as each role and check it against the spec: it can only see what was agreed.

  4. 04

    Deploy

The portal is published over HTTPS on our own servers, with backups and monitoring. If the spec includes it, this is also when we set up the first users and load the data you already have.

  5. 05

    Evolve

Once the portal is in use, change requests show up, like a new screen or another role. We stay with you and the portal grows with what your clients start asking for.

§ 04 — Built by us, live01 case

A product of ours, live, with isolated data

Vigentto, a product we built and run ourselves, is a SaaS for tracking sanitary registration expiries, made for food technologists in Paraguay. Its foundation is the same as any client area: each professional sees only their own companies, fully isolated.

§ 06 — Frequently asked questions05 questions

What to ask before getting a client portal

What does a client portal cost, and how long does it take?

It varies with the size of the portal: a view-only one is one project, one with billing and an ERP integration is another. Describe what you need: the quote comes afterwards, together with the plan for the portal.

Where does the data shown in the portal come from?

It depends on what you already have. Your team can enter everything through the portal's admin panel, or the portal can pull it from your ERP, when the ERP has an API or some way to export its data. The source of each piece of data is written into the spec.

Can one client see another client's data?

The portal is built so that doesn't happen: data is isolated per client, the spec spells out who sees what, and every role is checked against it before going live.

What's the difference between a client portal and a management system?

A management system is where your team works: entering orders, approving, following up. The portal is the part your client sees, behind a login, with only their own data. A project can include both, or just the portal connected to the system you already use.

Who adds clients and keeps the portal up to date day to day?

Your team, from the admin panel: they create each client's access and update orders and documents without depending on us. On our side are hosting, backups, monitoring and changes to the portal itself.
